Data we process
The form collects your name, email address, topic, preferred language, message and acknowledgement of the privacy information. The enquiry is recorded with a date and reference ID. To limit abuse, the service also processes your IP address and stores a protected identifier rather than a clear-text IP in the anti-spam records. The hosting service may process additional connection data and logs according to its configuration.
Purposes and legal bases
Form data is used to receive, manage and respond to your enquiry, based on the consent expressed when submitting it. Measures strictly needed to prevent abuse and protect the service serve the legitimate interest in security. The controller must confirm the applicable bases and conditions before public launch. Marketing messages and profiling are not planned.
Providing your data
Submitting an enquiry is optional. Fields marked as required are needed to submit and manage the message; without them the form cannot receive your request. You can browse the other pages without completing the form. Please avoid sensitive information or unnecessary personal details about other people.
Retention
The current configuration provides for 90 days of enquiry retention and a one-hour window for anti-spam identifiers. Deletion procedures, any backups and provider log retention must be aligned and confirmed before launch. A different retention period must be reflected on this page.
Recipients and external services
Enquiries are available to authorised Academy staff handling them. When email forwarding is enabled, requests are sent to the Academy contact address through the chosen email provider. Hosting and email providers, roles, locations and any transfers outside the European Economic Area must be specified before launch. Any ChessMeet links lead to an external service with its own privacy information.
Security and automated decisions
Message storage is separate from the public website files and has no public web listing. Data validation, submission limits and measures against automated submissions are applied. No automated decisions about people or profiling are performed.
Your rights
Where the law provides, you may request access, rectification, erasure, restriction or portability, or object to processing. You may withdraw consent without affecting earlier lawful processing and complain to the competent supervisory authority, including the Italian Garante per la protezione dei dati personali. Use the controller’s privacy contact once completed, or the contact form. Identity verification may be necessary.
